Arvia HR Intelligence Platform ("Arvia", "we", "us", or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform at arviahr.com. Arvia is available globally and this policy applies to all users worldwide.

1. Information We Collect

We collect information you provide directly to us when you create an account, including your name, work email address, organization name, and billing information. We also collect information about how you use Arvia, including conversations with our AI agents, tickets you create, assessments you complete, and usage patterns.

We do not collect or store the content of employee conversations you reference beyond your session history. All guidance is generated in real time.

Your data is stored securely using a SOC 2 compliant database provider. All data is encrypted in transit and at rest. Each organization's data is isolated and accessible only to authorized users within that organization.

Arvia is operated from the United States. If you are located outside the United States, your data will be transferred to and processed in the United States. By using Arvia, you consent to this transfer. We ensure appropriate safeguards are in place for international data transfers in compliance with applicable law, including Standard Contractual Clauses where required for EU/UK data transfers.

We implement industry-standard security measures including encryption, access controls, and regular security reviews to protect your information from unauthorized access, disclosure, or destruction.

The retention periods above describe how long Arvia retains data within the platform. Separately, your organization has its own legal obligations to retain certain employment records under the laws of the countries where you operate — these obligations exist independently of Arvia and are your organization's responsibility. See Section 9 of our Terms of Service for a general overview by country.

You may export your data at any time from within the Arvia application. You may also request deletion of your account and associated data at any time through Settings → Billing → Delete Account. We will process deletion requests within 30 days, except where retention is required by applicable law.

7. Your Privacy Rights

EU/UK Users (GDPR): You have the right to lodge a complaint with your local supervisory authority. In the UK, this is the Information Commissioner's Office (ICO). In the EU, contact your national data protection authority.
California Users (CCPA): California residents have additional rights including the right to know what personal information is collected, the right to opt out of sale (we do not sell personal information), and the right to non-discrimination for exercising privacy rights.
Canadian Users (PIPEDA): Data is processed and retained in compliance with PIPEDA and applicable provincial privacy laws. Data is retained only as long as necessary for the purpose for which it was collected.
Singapore Users (PDPA): Data is processed in accordance with Singapore's Personal Data Protection Act. Personal data is not retained once it is no longer needed for the legal or business purpose for which it was collected. Contact the Personal Data Protection Commission (PDPC) for guidance on your rights.
Hong Kong Users: Data is processed in accordance with the Personal Data (Privacy) Ordinance. The Privacy Commissioner's guidance indicates personal data generally should not be retained longer than necessary for the purpose collected. You may contact the Office of the Privacy Commissioner for Personal Data (PCPD) with questions about your rights.
New Zealand Users: Data is processed in accordance with the Privacy Act 2020. You have rights to access and correct your personal information, and may contact the Office of the Privacy Commissioner with concerns.
Australian Users: Data is processed in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. You may contact the Office of the Australian Information Commissioner (OAIC) with concerns about how your data is handled.

8. Data Breach Notification

In the event of a data breach that is likely to result in a risk to your rights and freedoms, we will notify affected users and relevant regulatory authorities as required by applicable law. EU and UK users will be notified within 72 hours of us becoming aware of a breach, as required by GDPR. US users will be notified in accordance with applicable state breach notification laws.

Arvia uses essential cookies to maintain your login session and ensure the platform functions correctly. We do not use advertising or tracking cookies. You can control cookie settings through your browser, but disabling essential cookies may affect your ability to use the platform.

10. Children's Privacy

Arvia is intended for use by business professionals and is not directed at individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have inadvertently collected information from a minor, please contact us at hello@arviahr.com.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by email and by posting the new policy on this page and updating the "Last updated" date. Your continued use of Arvia after any changes constitutes your acceptance of the updated policy.
